The Personal Assistant is a direct report to and responsible for supporting the Executive General Manager (EGM). This role provides full administrative and support duties of a responsible and confidential nature.
This role is an integral part of the team and will work to support the EGM and the team’s initiatives. This means providing support to the leadership team as required to ensure the team operates as effectively and successfully as possible. You will be looked to establish, build upon and positively influence relationships with key stakeholders, peers and colleagues - whilst positively and confidently representing the EGM and team at all times, and demonstrating our values.
A bit about your role
Operating at a senior level, this role requires an individual who is comfortable in communicating with people at all levels in the organisation, industry and wider community. With confidence and the utmost professionalism, this person will represent and communicate on behalf of the EGM to various stakeholders both internally and externally to NBN Co. As well as receiving and screening telephone calls and meeting invitations, you will be required to review correspondence and filter information to maximise the EGM’s time.
Some of the key accountabilities are:
- Diary Management and Meeting Coordination
- Organise and expedite the flow of work through the EGM’s office and initiate any follow up actions. Organise and maintain files of correspondence, and records, following up on pending matters.
- Preparation of materials and documents - prepare complex correspondence, reports and presentations to a high quality. Ensure any organisational and internal presentations are consistent with the NBN Co formats and content.
- Travel Coordination - assist EGM and leadership team with coordination of travel and expense reimbursement as required.
- General Office Management - undertake and co-ordinate facilities planning and moves, general administrative tasks
- Provide support to the Management Team as and when required.
A bit about you
To be successful in this role, it is expected that this person will apply their extensive experience in order to quickly gain a clear understanding of the role and best method of operation, as well as the overall business unit and NPD organisations.
You should have minimum 5 years of extensive PA and administrative experience within a large, corporate organisation (over 500 employees), providing administrative support for senior management levels in a complex matrix organization. Prior experience in setting agenda’s and capturing minutes to meetings is also critical.
You should also demonstrate the ability to develop new processes and improve existing processes.
