As part of the VIC / SA Transport and Resources team, this role covers a broad range of skills relating to Transport and Resources. The primary focus of this role is to contribute to developing the Transport and Resources services of our business, supporting our clients and building a profitable Transport and Resources team.

About the role

The Business Administrator will provide commercial, administrative and secretarial support to the Vic/SA Transport and Resources Group. In addition, the successful candidate will:

  • Provide direct administration support to the Vic/SA T&R leadership cohort and wider team, in collaboration with other Business Administrators.
  • Manage correspondence and filing, general word processing and document preparation, including liaison with key personnel within the Group to ensure timely delivery of information.

  • Authoring non-standard documentation including tenders, capability statements, expressions of interest, proposals, reports and other documentation.

  • Assistance with diary and email management for team leaders and senior staff.

  • Coordination of travel and accommodation for the Group in line with Arup policies and procedures. Reconciliation of travel statement.

  • Meeting deadlines and assisting with project submissions, tenders, contracts and other project deliverables.

  • Drafting and submitting monthly project invoices.

  • Actively following up payment of invoices and reporting on project aged debts.

  • Assisting with the management of timesheets and following up with staff as required by the Group leader.

  • Updating CRM with team’s leads, opportunities and client activities in CRM.

  • Assisting with the organisation and delivery of team events, client functions, business development presentations and marketing collateral.

  • Scheduling, attending and minuting team meetings as required.

About You

Relevant industry experience in administration support within a consulting business environment, with strong skills in Microsoft Office, Outlook (Advanced), Word (Advanced), Excel (Intermediate to Advanced), PowerPoint (Advanced),Access (Basic to Intermediate) and a proactive approach to work. You will bring a recognised relevant tertiary qualification and will possess demonstrated excellent attention to detail along with high-level verbal and written communication skills. Additionally, you will have proven working knowledge of relevant legislation, regulations, codes of practice, and guidelines. The ability to work independently and as part of a team is essential.
