An opportunity has arisen for an Assistant Property Manager to join the team.

Reporting to the Head of Property, this position is responsible for preparing and maintaining the rent payments diary, managing day to day accruals, reconciliations and payment issues for a portfolio of 200+ retail branches, 5+ commercial offices and support centres.

The other key responsibility for the role is assisting the Leasing team in the day to day management of the portfolio including but not limited to Lease Interpretation, Rental Reviews and continuous improvement.

To be successful in this role you will have the below skills, knowledge and experience:

  • Holistically manage the Rent Diary including recurring payments, reconciliations, ad hoc payments and, accruals.
  • Input all lease data (generated from leasing transactions and other internal/external sources) and maintain accurate records relating to all payment details in the database. Audit as required
  • Process all electricity payments provided by landlords and processed through the rent diary
  • Support the forecasting of financial accruals for Budget and YTD forecasting
  • Issue certificates of currency to landlords
  • Facilitate payment of invoices or cheques as required including but not limited to stamp duty and registration fees and surrender fees.
  • Facilitate preparation of invoices on behalf of the leasing team as required (such as leasing incentives, landlord claims).
  • Customer service in relation to reconciliation and payment and invoice enquires (from both Landlords and OMBs).
  • Review outgoings estimates and undertake outgoings reconciliations as required
  • Assist in the phased implementation of the P2P and champion continue improvement
  • Support the leasing team in relation to rental reviews, lease expiries & reporting.
  • Support the operations team in relation to complex property management issues, including lease interpretation and direction.

  • Strong relationship building experience with both internal and external stakeholders
  • Knowledge and experience with accounting and administration, reconciliations
  • Knowledge and experience with Excel
  • Knowledge and experience in retail environment
  • Shows dedication and tenacity in problem solving
  • Self-reliant, results oriented.
  • Willingness to demonstrate ownership in the leasing database, lease payments and invoice requirements for the leasing team.
  • Shows initiative to continually improve processes.
  • General office administration experience
